We've got a group of about 15 field technicians who travel out to customer sites all over the state — sometimes it's a day trip, sometimes they're away overnight. I want to set up a card policy for them. They need to be able to buy fuel wherever they land — servos, truck stops, whatever's closest, no brand restriction on that. They also sometimes need to grab a part or a tool on the way to a job — hardware stores, auto parts places — but I don't want them going overboard on tools, so cap that around $300 a transaction and maybe $800 a month total across the group... actually, per person, not pooled. When they're travelling overnight I want them to be able to book a hotel — nothing fancy, say $250 a night — and claim meals while they're away, so breakfast/lunch/dinner, call it $80 a day. Day trips don't get the meal allowance, just the overnight ones — I don't want someone expensing lunch every day just because they drove forty minutes. Tolls and parking should just be open, no real cap, that's just cost of doing the job. Absolutely no bars, no alcohol, no cash withdrawals, and nothing at casinos or anywhere gambling. Same with adult entertainment — hard no, that gets blocked no matter what else is going on. They don't need software subscriptions or electronics through this — if that comes up it's a separate request through IT, don't build it into this one. For anything I haven't mentioned, I'd rather it just get blocked and someone raises a request than have it accidentally allowed. And if a tech somehow ends up covered by two different policies at once, deny should always beat allow — I never want an accidental yes.
